Managing quotes
Find quotes, track won and lost, adjust line items, and resend quotes to customers.
Every quote customers submit appears under Quotes.
Find a quote
- Search by project name, customer name, email or quote ID.
- Filter by Status: Submitted, Won, Lost, Cancelled or Draft. Draft quotes are ones a customer saved to finish later and hasn’t submitted yet.
Click a quote to open it.
The quote page
Overview shows:
- Line items: each part, its quantity, unit price and line total. Lines your team added are marked Added by staff.
- Custom lines & credits: one-off charges or credits added after submission.
- Answers: everything the customer answered.
- Totals: subtotal, discounts and fees, and the total.
- Details: customer, project, when it was created, when it expires, its status and order reference.
Timeline shows how the customer built the quote: when they started, which answers they changed, which rules fired, and where validation stopped them. Use the filter chips to focus on one kind of event. It’s useful when a customer calls asking “why did the price jump?”
At the top of the page:
- Public page opens the quote as the customer sees it.
- PDF downloads the quote as a PDF.
- Email customer re-sends the confirmation email with the link to their quote. You’ll be asked to confirm first, because emails can’t be unsent.
If you see “N rule warnings: some pricing may not have applied as expected”, a rule couldn’t fully apply when this quote was priced. For example, a formula used a question the customer left blank. Click Show for details, then fix the rule so future quotes price correctly.
Track outcomes: won, lost, cancelled
Click Change status and pick:
- Submitted: the default. The customer has sent it and you haven’t heard back yet.
- Won: the customer went ahead. Add the Order reference (a PO, invoice or job number from your own system) so you can find it later.
- Lost: they didn’t go ahead.
- Cancelled: withdrawn, a duplicate, or a test.
Add an optional Note, such as “Went with a competitor on price”. It’s saved to the activity feed. You can change the status again at any time.
Customers with an account see the current status in their quote history.
Adjust a submitted quote
Quotes keep the prices they were submitted with, even if you change your prices later. When you need to change one, for example to fix a measurement, add something that was forgotten, or apply a goodwill credit, edit it here. You can’t edit Lost or Cancelled quotes.
- Line items: Add part to add a part from your catalog. Edit qty / price changes a line’s quantity or unit price. Remove line deletes it.
- Custom lines & credits: Add line for a one-off charge, such as “Extra trip charge”, or a credit (enter a negative amount, for example
-100for “Goodwill credit”). Add an optional note for your team.
The total is recalculated straight away. The store-wide discount, if the quote had one, applies to the parts subtotal, not to custom lines. Every change is recorded in the activity feed with the before and after values.
Editing a quote doesn’t email the customer. Use Email customer when you want them to see the updated version.
